What is Form W-9?

When do I need to fill out a W-9?

What It Is

Form W-9 is an IRS document that collects your name, business name, federal tax classification, address, and Taxpayer Identification Number. The requester uses it to prepare information returns — most commonly a 1099-NEC for contractor payments or a 1099-INT for interest income.

Who Fills It Out

Any U.S. person or entity that receives payments as an independent contractor, freelancer, vendor, or interest/dividend recipient fills out a W-9 when requested by the payer. Foreign persons use Form W-8BEN instead.

What Happens to It

The requester keeps the W-9 on file for at least four years. They use your TIN to file the appropriate 1099 with the IRS and send you a copy. You do not file the W-9 with your own tax return.

The $600 Threshold

Businesses must file a 1099-NEC when they pay a contractor $600 or more in a calendar year. They request a W-9 to get the TIN needed for that filing. Even if paid less than $600, you still owe self-employment tax on the income.

W-9 vs. W-8BEN

W-9 is for U.S. persons (citizens, residents, and U.S. entities). W-8BEN is for non-U.S. individuals, and W-8BEN-E is for non-U.S. entities. If you are a foreign contractor paid by a U.S. company, you submit a W-8 form, not a W-9.
